Bowhill Recruitment Ltd ("we", "us", "our") is a specialist recruitment agency. This notice explains what we do with the personal information of candidates who register with us, and what your rights are.
We are the data controller for the information described below.

1. The information we collect
When you register as a candidate, we collect:
- Your name, email address and telephone number
- Where you are based
- Your current job title and the type of role you are looking for
- Your salary expectation
- Your notice period
- Whether you have the right to work in the UK
- The sectors you are interested in
- Anything else you choose to tell us in the free-text field
- Your CV, if you upload one or send it to us, together with everything in it: your employment history, education, qualifications, skills and any referees you name
If we go on to work with you on a specific role, we may also collect interview feedback, references, proof of your right to work, and details needed to complete a placement.
We also collect standard technical information when you use our website, such as your IP address and how you navigate the site. Our website is hosted by Squarespace, which uses cookies for this purpose.
Where the information comes from
Most of it comes directly from you. We may also collect information about you from professional networking sites and job boards where you have made your profile available to recruiters, from referees you have named, and from clients you have interviewed with.
Sensitive information
We do not ask for information about your health, ethnicity, religion, sexual orientation or similar. If you choose to tell us something in this category, for example because you need an adjustment at interview, we will only use it for that purpose and only with your explicit consent.
2. Why we use it, and our lawful basis

Our legitimate interest is in running a recruitment business and matching candidates to opportunities. We have considered your interests and rights, and we believe you would reasonably expect a recruitment agency you registered with to use your information in this way. You can object at any time — see section 6.
We never send your CV or your details to a client without asking you first.
3. Who we share it with
- Prospective employers and clients — only where you have agreed to be put forward for a specific role.
- Service providers who process data on our behalf, under contract and only on our instructions. These currently include our CRM provider (Manatal), our email and document provider (Google Workspace), our website provider (Squarespace), our e-signature provider (DocuSign), and our invoicing and invoice finance provider (Sonovate), which processes candidate and placement details in order to raise and fund invoices.
- Our professional advisers, such as accountants and solicitors, where necessary.
- Regulators, HMRC or law enforcement, where we are required by law to do so.
We do not sell your information, and we do not share it for anyone else's marketing.
Transfers outside the UK
Some of our clients and some of our service providers are outside the UK. Where your information is transferred outside the UK, we rely either on UK adequacy regulations, on standard contractual clauses with the recipient, or — in the case of sending your details to an overseas client — on your specific consent to that introduction.
4. How long we keep it
- Candidate registration details and CVs: two years from our last meaningful contact with you, after which they are deleted or anonymised. If you are still open to hearing from us, we will get in touch before that point.
- Records relating to a placement we made: six years from the end of that engagement, to meet tax, accounting and legal requirements.
- Records we are required to keep as a recruitment business: for the period set out in the applicable regulations.
- Marketing preferences and opt-outs: kept indefinitely, so that we honour your choice.

5. Keeping it secure
We hold your information in access-controlled systems, we restrict access to those who need it, and we require our service providers to maintain appropriate security. No system is completely secure, but we take reasonable steps to protect your information and we will tell you and the Information Commissioner's Office if there is a breach that is likely to affect your rights.
6. Your rights
Under UK data protection law you have the right to:
- Be told what we hold about you and what we do with it — this notice
- Access a copy of the information we hold about you
- Have it corrected if it is wrong or out of date
- Have it erased, where there is no good reason for us to keep it
- Restrict how we use it while a question about it is resolved
- Object to us using it on the basis of legitimate interests, including profiling
- Object to direct marketing at any time, with no reason needed
- Portability — receive the information you gave us in a machine-readable format
- Withdraw consent at any time, where we relied on your consent

We do not make decisions about you by automated means alone.
7. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office:

8. Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed. If we make a significant change, we will make that clear on this page.
